Acceptance of Terms

We accept clients worldwide, provided the output is in English, in our time zone (GMT & WAT) and our payment terms are agreed.

By using the site, you agree to be bound by these terms and conditions; your agreement with us regarding the terms of service becomes effective immediately upon starting your use of our services. If you do not wish to be bound by these terms of use kindly do not proceed with Virtually Managed.

Our regular schedule is Monday through Friday 9:00am – 6:00pm. Completed tasks, projects and updates will be delivered by e-mail, or other method as agreed with the client.  All files are virus-checked prior to transmission. Other delivery methods (courier, etc.) will be charged to the client at cost.

Service cancellation can be done at any time, once the billing cycle is completed. Alternative arrangements can be done between parties.

Overview of Services & Responsibilities

Client understands that Service Provider is not an employee, and that this will be a collaborative, professional relationship of equals where mutual professional respect, courtesy and consideration are expected. Due to the virtual nature of the relationship, the Client understands the importance of communication, especially via email, and agrees to respond to questions, requests and communications from Service Provider in a timely manner. The client understands that Service Provider is a business with other clients to serve, and requires fair, realistic notice in order to attend to requests and projects. Poor planning or miscommunication on the part of Client will not constitute an emergency for Service Provider. Client understands that Service Provider may require detailed clarification of projects in order to meet expectations and provide the best support and highest quality work, for which the service provider will keep as many communication channels open as possible.

Task requests are non-transferable. This means you cannot sell tasks on your plan however; you are more than free to buy a plan for whomever you wish to introduce to the great world of delegating. Your Virtually Managed account is non-transferable.

If you are on a plan with limited requests, unused requests by the next billing cycle will not be carried over.

Contacting an employee of Virtually Managed to work privately for you is strictly prohibited and a violation of our terms & conditions.

Requests & Tasks

Tasks are to be submitted via text, email, phone calls or our project management dashboard. Tasks can be submitted via WhatsApp based on the following terms – Submissions via WhatsApp should be strictly tasks. We say this so task do not get lost in conversations and your Virtual Assistant/Manager can easily identify what needs to be done and complete it on time, satisfying your needs. If you would like to chat a bit more on WhatsApp, kindly do not submit tasks via WhatsApp but through the other channels listed above. You can call your Virtual Assistant/Manager to have a conversation; we would like to build a relationship with you through the most effective way that will not affect maximum output and productivity.

Office Hours & Communication

Office hours are Mondays through Fridays, 9:00 am to 6:00 pm (GMT & WAT), unless agreed otherwise with the Service Provider.  Service Provider is available for phone calls during office hours only. Meetings and appointments (in-house) depending on your plan need to be prescheduled.

Payment Options

All of our services are prepaid. Direct Bank Transfers and PayPal money transfers are accepted. Other payment agreements can be discussed with the service provider.

Confidentiality

Virtually Managed will not at anytime either directly or indirectly, use for the personal benefit of the Service Provider, or divulge, disclose or communicate in any manner any information that is proprietary to the Client. Service Provider will protect such information and treat it as strictly confidential. This provision shall continue to be effective after the termination of this Agreement.  Upon termination of this agreement, Virtually Managed will return to the Client all records, notes documentation and other items that  were used, created, or controlled by Virtually Managed during the term of this Agreement.

Cancellation

You can cancel your subscription at anytime by sending an email to accounts@virtuallymanagedltd.com Monthly subscriptions can be cancelled at any time though we are able to prorate membership cancellations or refund any unused time.

Termination of Service

On not glorious terms, we reserve the right to terminate the service of a client at any time for any reason.  We never have but we may terminate a contract/subscription with a number of reasons but not limited to the following

  • If the client is constantly requesting tasks outside of the initial agreed scope of work stated on the signed contract and refuses to upgrade.
  • If the client is mean to his/her Virtual Assistant/Manager or any member

Privacy Policy

Our Privacy Policy has been written to establish how Virtually Managed shares information regarding the collection, use and disclosure of Personal Information we receive from users of the site.

We use your Personal Information only for providing and improving the site. By using the site, you agree to the collection and use of information in accordance with this policy.

Information Collection & Why

While using our site, we may ask you to provide us with certain personally identifiable information that can be used to contact or identify you. Personally identifiable information may include, but is not limited to:

  • Name
  • Email Address
  • Telephone number
  • Address
  • Billing Address
  • Credit card number (for payment purposes only)

We advise you to not share any sensitive personal information that you do not feel comfortable disclosing to strangers.

Log Data

Like many sites we collect information from and about the devices you use to accesses the Services. The Log Data may include information, such as your computers IP addresses, the device used, type of browser, the pages of our site that you visit, the time and date of your visit and identifiers associated with your devices.

In addition, we may use third part services such as Google Analytics that collect, monitor and analyse this information.  Google Analytics uses “cookies” which are text files placed on your computer, to help the website analyse how users use the site. Information Use & With Whom

We collect information from you so we can provide products and services that you request, and provide information that you request from us. We use your personal information to:

  • Contact you about your service requests
  • Perform the services you requested
  • Process credit card/ debit card transactions necessary for the services you requested
  • Personalize you experience
  • Process your membership fees

 

Third party Access

We may provide information to third party service providers that help us fulfil services that you request from us e.g., a courier company making a delivery. These service providers will have access to your personal information in order to provide these services, but when this occurs, we implement reasonable contractual and technical protections to limit their use of that information to helping us provide the service.

Feedback

Feedback is extremely important to us. Feedback you submit will be considered non-confidential and non-proprietary to the extent permitted by law. We may use any of your feedback or suggestions to improve our services or for marketing purposes on our website or any social media sites without any obligation to you.

Delegation Of Your Inbox

In the event you share your inbox and/or calendar with us, we will NEVER share their contents with third parties without your consent except as necessary to perform the services requested. It is solely your responsibility to notify any senders of email that you have delegated your email and calendar to us and that we may observe their emails on your behalf. We reserve the right to turn over any information related to any potentially illegal activity contained in these accounts to law enforcement for civil and/or criminal penalties.

The Law

We may disclose your information to third parties if we determine that such disclosure is reasonably necessary to (a) comply with the law; (b) protect any person from death or serious bodily injury; (c) prevent fraud or abuse of our other users; or (d) protect our intellectual property rights.

The security of your Personal Information is important to us and will continuously work on features to keep your information safe and secure.

Retention

We will retain information you store on our Services for as long as we need to do so to provide you the Services.

To provide you with the Services, we may store, process and transmit information around the world. Information may also be stored locally, in Nigeria on the devises you use to access the Services.

Changes

If we are involved in a merger or acquisition, your information may be transferred as part of that deal. We will notify you prior to any changes.
